Registration/Advertising Guidelines

Holiday Villa Select welcomes your decision to advertise your holiday rental property with us and the following guidance notes are aimed at making it as easy as possible for you to setup and manage your advert/account. If however the notes below do not answer all your questions, or if you experience any difficulties setting up your advert please do not hesitate to contact us (tel:freephone 0800 917 5051, or use our contact us form).

General information

Registration

In order to advertise your holiday rental property on our site you will first need to register with us and setup your online account. In order to do this just complete the online Registration Form. The account information that you will need to enter will be your personal contact details, not the details of your rental property which you will input into the system later. In addition to your contact details you will be asked to choose your preferred username and password which you will then use to access your account and manage your property advert(s).

Once your registration is completed we will email you with confirmation of your access details and you will be able to login to your account and start to pay for and setup your advert.

Setting up your advert

After logging into your account you will be taken to a webpage via which you can Manage your Account and you should see an option to Add A New Property. Clicking on Add a New Property will then take you through the payment process that will establish your blank advert. Following receipt of payment you will then be able to visit a series of pages via which you will be prompted to add text and upload the photos/images of your property. The inputting has been broken down into several sections in order to ease the entry of information.

Form 1 - Advert & Basic Property Details
This page is the first of 4 that you will need to complete, and it will capture the basic information about your property and the type of advert that you require. Once the basic information has been saved you will be able to continue to the other pages/forms where you can add more detailed information about your property (eg. accommodation, amenities, special interest/activity, location etc.). You will also be able to upload your photos and your electronic brochure (if you have one available). After your property information has been entered and your payment has been received we will review your advert, and if everything is in place, your advert will be displayed.
Advertisement Period:
The advert period as determined by your payment will be displayed
Special Interest/Activity Listing:
There are four tick boxes in this section relating to facilities that are close by that may be of special interest to holidaymakers (ie.Golf, Skiing, Disabled Facilities, Other). You should only tick items in this section if you want to include specific details about any the facilities (other than the information that is in your general description). If you tick any of the items you will find specific boxes on later pages where you can add the relevant details (Page 3)
Number of Photos to Display: The basic advert would normally include 4 photos/images but there is the option to increase this number up to a maximum of 20. You should select the number that you intend to display and this will then tailor the subsequent image upload page to match that number. Further instructions will be provided on how to upload your images on the relevant page (Page 4)
In Which Country is Your Property: You will see a dropdown box from which you can select the country where your holiday rental property is located, and once you have selected the country, you should also select the region within that country
Closest Town/Village: It is useful to also specify the nearest town or village so that the holidaymaker can get a rough idea of where your property is. A single location (city, town or village) should be entered
Full Address of Property:

We will require the full address of your property.
Google Map Locator: We will be providing Google mapping facilities on our adverts and if you choose to use this facility you will need to have entered a text string in here that will display the map that you want to show. If you are not sure what to enter go into Google maps and test various parts of your property address (eg. 29660, Marbella) until you find the map that you want to display
Advert Title:

You should enter a simple title for your advert here and this can be up to 120 characters.
(eg. Villa near Puerto Banus, Costa Del Sol, sleeps 6)
There will be a character count displayed so that you can easily see how many characters you are using as you construct your advert title.

Short Description of Property:
This will appear at the top of your advert, below the advert title, and it should be one short sentence describing your property. 250 characters maximum, with a character counter being displayed to help with this.
(eg. Large Villa With Private Heated Pool Set in Beautiful Tropical Garden with Golf Views Within 5 Minutes Drive of Puerto Banus, Located in Quiet Residential Area Sleeps 6 in 4 Bedrooms)

Sleeping Number/Bedrooms:
Select the maximum number for sleeping and the number of bedrooms
You have now entered the basic details about your property and you should click the Save button. You will then be taken to the next page, where you can enter more detailed information about your property


Form 2 - Details of General Accommodation/Amenities
Full Description of Your Property:

This section will be the main description for your advert and you should write a paragraph which includes a summary of all of the main features of your property. Don't worry if you don't know what to say, we can help, just enter the basic details and tick the box asking for our help with your description and we will email you back with some suggestion on how you could describe your property. We suggest that you generate a full description of around 160-180 words.

Living/Dining Rooms Description:
Include a short summary of the rooms and the seating, any TV/video/DVD etc, also any sofa beds etc.
The general accommodation information appears in section 4 on the sample page
Kitchen Description:
Include a short summary of the kitchen and its appliances etc.
Bedrooms Description:
Include a short summary of the bedrooms and the furniture/sleeping arrangements, en-suites etc.
Bathroom Description:
Include a short summary of the main bathroom and its utilities and any additional WCs etc.
Other Rooms Description:
Include a short summary of any remaining rooms (eg dining room or utility room) and their contents etc.
External Areas Description:
Include a short summary of external areas including any gardens, patios, terraces, pools, furniture etc.

Amenities/Appliances Checklist: There are a series of tick boxes available all of which will displayed on the advert, tick all the items that apply and these will appear as ticked on your advert

Facilities for Disabled:
If you ticked the Disabled Facilities box on page 1 (see above) this will generate a box onto which you can include details of any provision for disabilities eg, ramps, wheelchair access, lifts etc

Any Additional Notes on Accommodation:

You should include any additional information about the general accommodation and facilities available that you have not mentioned in the above sections.
(eg. Linen is provided and a weekly maid service is provided. The pool and the gardens are maintained on a weekly basis also. Additional cots and/or high chairs are available on request. Strictly No Smoking)

You have now entered the details about your property's accommodation and amenities and you should click the Save button. You will then be taken to the next page, where you can enter more detailed information about the location and pricing/booking arrangements for your property


Form 3 - Details of the Local Area/Pricing & Booking Arrangements
Special Interest - Golf:
If you ticked the Golf Special Interest box on page 1 (see above) this will generate a box into which you can include details of any access to golf courses/clubs nearby. It is useful to indicate distances from courses etc.
The Golf information is item 9 on the sample page
Special Interest - Skiing:
If you ticked the Skiing Special Interest box on page 1 (see above) this will generate a box onto which you can include details of any access to skiing nearby. It is useful to indicate distances from resorts and skill levels accommodated etc.

Special Interest - Other: If you ticked the Other Special Interest box on page 1 (see above) this will generate a box into which you can include details of any other facilities nearby that may be of specific interest to holidaymakers, eg. horseriding, fishing, cookery school, archeological sites etc.
The Other Special Interest information is item 11 on the sample page
Location of Coast/Beaches/Lakes: Include any access to the coast, beaches, lakes nearby. It is useful to give distances either walking or driving etc.
The Coast/Beaches information is item 12 on the sample page
Travel Information: Include distances from areas of interest, eg. airport, railway, ports, towns, cities, it is useful to say whether car hire is available or is advised or essential etc.

Google map: Tick the box if you want a Google map to be displayed which will show the location of your property. You should ensure that an accurate postcode/zipcode was entered on Page 1 for the map to work effectively

Additional Notes on Location:
Include any other general notes about the location of the property and the areas that might be of interest to your guests.

Rental Pricing Summary:
In certain pages of the site we need to display a summary of your prices eg. From: £300 To: £500. Please enter the lowest price and the highest price in the relevant boxes and select the main currency for pricing. Full details of rental periods and prices can be entered in the next section.
The Rental Pricing Summary is displayed on search results pages, not your main advert page
Rental Periods & Pricing: Up to 12 rental periods can be listed as appropriate along with prices for those periods. Specify the currency that applies within the Price box, you may wish to display multiple currency prices and this acceptable.
If you wish to show rental periods as Low, Mid or High season the you can do so. If seasons are selected then prices will be displayed in season order in your advert. If rental seasons are not selected then your rental periods and prices will be displayed in the order entered.

Pricing Exceptions/Notes: Special conditions or charge variations from the above; low, medium or high season pricing scheme
(eg. Dec20-Jan6 will have the high season rate applied
10% reductions applicable on rentals longer than 6 weeks)

Crossover Type and Details : Crossover is the term used to describe the day/time when one holidaymaker vacates and the next one arrives. Arrangements can be fixed (eg. always Saturday, vacate before 11.00 and arrive after 15.00) or flexible (eg. preferably Saturday but can be an alternative day). Select if you operate a fixed or flexible crossover day/time and then enter details as appropriate

Availability Calendar Ready to Display: Select Yes when you have updated your availability calendar and you are ready for it to be displayed. You should only choose to display your calendar if you intend to keep it up to date and if you prefer not to use it then you do not need do anything at all, just leave the selection as No. Prospective guests will be able to send enquiries to you via an online form so you may feel that displaying the availability calendar is not necessary or that keeping one up to date is not convenient and that is quite acceptable.

Booking Instructions: Include the booking instructions that apply - we find that many of our owners use "25% deposit with the booking and the reminder to be payable 6 weeks before arrival" as their standard conditions

Contact Details to be Shown: Most owners choose to display their name and telephone number(s) and you should confirm that this is acceptable (in order to comply with our privacy policy). Prospective guests will be able to send enquiries to you via an online form. Your email address will not be displayed as this can often result in significant SPAM being sent to it.

Include any recommendations or comments from your guests

Owners Own Website Link:
Links to your own personal website can be added, please provide your URL here (do not include the http:// as this will be added automatically). You must include a link back to Holiday Villa Select on your website before we will activate your link on our site - please cut and paste this code on to your page:

We do not accept links to websites that advertise other properties or to commercial/business websites and HVS reserves the right to refuse or remove these links at our discretion. Llinks to other websites will be vetted and must comply with our terms & conditions

Display the Advert:
Select this when you are happy that the advert is complete and ready to be displayed. This will prompt an email to us to review and release your advert for display.
You have now entered the details about your property's location, pricing structure and booking arrangements and you should click the Save button. The main text input is now complete and you will be taken next to the page where uploading your property images/photos or brochure (if available) can be done.


Form 4 - Photos/Brochure Upload
All photos must be in .jpg or .gif image file format, image size 300 x 200 pixels recommended. If you need help resizing your images then there is a website that provides free image resizing facilities (Resize My Picture) that you might find useful. If you need some additional help or only have printed photos available then just ring us on 0800 917 5051 or email us and we will do our best to help.
The number of lines showing on the form for uploading your images should match the number that you entered on Page 1 (Number of Photos to Display). If you have decided that you want to upload more images you can add extra lines by clicking the button in the section below (Additional Photos), but you will need to do this before you enter any of the details about your image files.
Once you have your images ready then click on the Choose/Browse button and this will open up the files/folder directory on your PC. Move to the area of your PC where the images are stored and select the file that you want to upload. You can then enter a line of text to describe the image/photo that your are uploading.

Additional Photos : If you would like to load more photos click the button to add extra photo boxes to the form - you will need to do this before you enter any details of the images in the section above.
Your Electronic Brochure: If you have your own electronic brochure that you would like prospective guests to be able to download from your advert page then select the file from your PC and upload it (in the same way as that detailed in the image upload section above) The file should be in pdf format as this will make the file size smaller and this will reduce the time it takes the holidaymaker to download it.

When you submit the form for Page 4 your advert setup will be complete. Congratulations !!



Maintaining/Updating your Advert

The details relating to your advert can be updated via the links available on your Manage Your Account. The links provide access to sections of your advert so that if you want to amend one element you do not need to visit all of the form that you were presented with when uploading your advert details. The forms used to amend your property details are set out in the same way as the original upload forms so you will find that the notes above for Form 1, Form 2, Form 3 and Form 4 will apply.

Preview Your Advert

Clicking on this link will show you how your advert will appear when it is released onto the website. The preview page can also loaded by clicking on the thumbnail (ie. small) image that appears within your menu

Amend/Delete Photos and Brochure
Clicking on this link will take you to a page that looks similar to Form 4 but instead of seeing a blank form all the details of the existing images/titles will be displayed. You have the option of replacing the existing image with an alternative or just deleting the image completely. The method for uploading a replacement image is the same as used initially to upload it. Once you have all of the new files/titles in place just submit the form and the images will upload.

Amend Description
Clicking on this link will take you initially to a page that is similar to Form 1, which contains all the basic details about your property. Once in that form you will be able to amend the basic details for your property or move to other sections of your property description. The following list summarises what is available for amendment on the various pages:
Page 1 - Basic details of the property including address, postcode/zipcode, number of images, number of bedrooms, advert title, short description etc.
Page 2 - Main detailed description, room descriptions, amenities list, facilities for disabled, general accommodation notes, disabled facilities etc.
Page 3 - Special interest sections (golf, skiing, other), local area, travel, rental periods/pricing, booking arrangements, guest feedback, your own website link

Amend Availability Calendar
If you have chosen to display and availability calendar it is important that you keep it up to date.

Renew Advert
Your advert is initially setup for a minimum period of 6 months and further details will be added about how to renew your advert in due course

Maintaining/Updating your Account Details

Amend Contact Details
Within the Account/Contact Details section of your Manage Your Account homepage you will find options to update you personal contact details - just click on the link, edit the items that you need to and submit the form.
Please note that we take your privacy very seriously and we never pass on any of your contact details to any third party without your express permission. Also please note that the email address that you have supplied is not displayed on your advert, primarily because this may result in high levels of spam being sent to you.

Amend Username/Password
It is generally considered good practice to change you password on a periodic basis and you can do this using this link. Please note that an email will be sent to you when your username/password is changed.

Amend Newsletter Subscription
We encourage all our owners to subscribe to our free of charge newsletter as it will provide useful information about changes, new facilities, special offers and items that may be of general interest. If you wish to unsubscribe from the newsletter then this link can be used to do this.

This section of your Manage Your Account homepage is aimed at providing you with access to a range of documents that you should find useful.

Advert Statistics
Once your advert has been activated there will be statistics available for viewing that will show how your advert is performing (eg. number of client visits, number of enquiries etc.) - More information to follow soon.
